Context :
Paris notary office : 12 users.
IT service provider : CMD Informatique.
Backup manager : Beemo.
Backup equipment : BeeBox 508 with outsourcing to CINP data centers.

Presentation :
One evening in November 2019, Mr Julien Plocque finishes drafting a complex deed to be presented in an appointment the next day at 2pm. Except that an error occurs at the end.

Timeline :
The incident :
At around 2 a.m., when the deed was almost finished, a blockage in the deed drafting software (LRA) caused access to the deed to be lost without the possibility of reopening it ; empty file. The next morning, Mr Plocque called the LRA’s technical support team to ask for a retrieval of his document while it was being edited. After four hours of unsuccessful attempts, Maître Plocque decided to call his IT service provider, who engaged Beemo technical support on the incident.
Mr Kenny Sambiase, Beemo technical manager for the Plocque study, intervened to restore the act. Once informed of the nature of the document and the time of the incident, the restoration is successfully completed within one minute, at which time it is 13:50.
Mr Plocque provides the last missing information in the deed and starts his appointment with a complete deed.

The testimony :

With experience of several document drafting software packages, Mr Plocque regrets a « certain lack of knowledge of backup principles » on the part of some LRA hotline technicians, and suggests that an independent backup solution, such as the Beemo solution, « should be mandatory on any LRA ».
The visible impact of the incident was reduced to a few minutes delay in a customer appointment. It could have been quite different if the LRA technical support had recommended rewriting the entire act.
« Redoing the deed would have made me lose at least 4 hours of time, postpone my appointment and make my client unhappy, whereas in a few 45 seconds, your support was able to restore my document, I was able to make my final changes and I could start my appointment. »

The conclusion :
« In any case, I want to keep Beemo ; I need to be able to count on a quick response in case of an incident. In my experience with LRA technical support, it’s more often than not within 48 hours, sometimes the next day, and with luck, the same day. What is really expensive is all the time spent on the LRA hotline for problems like this. The investment in an alternative backup solution pays off quickly. »
« I now have three different backup systems, and this is a priority for me, because I don’t want to be dependent on any one software for my data. At least with Beemo, I know I have my data quickly at hand, a bit like my spare car keys, I know I have them, just in case ! »
In November 2020, the Blanchet and Plocque-Katzner notary offices merged to form Palais-Royal Notaires, still secured by a Beemo backup solution with data outsourcing to the secure datacenters of the Paris Chamber of Notaries.
