Mail servers are an essential tool for any business and the retention of data stored on these servers is one of the main issues that arise from their use.
In response, the Beemo solution backs up Exchange servers and provides an additional level of protection for email elements. Thanks to the new Sheet-to-Sheet Exchange Plugin, which provides an alternative to the two existing backup modes, Beemo users have an additional tool to perform even more complete backups of their Exchange server.

1/ Exchange server backup levels

To back up their Exchange server, Beemo users have the choice to perform :

  • a complete backup of the server database,
  • a mailbox backup. The mailboxes of each user are saved in their entirety.

The Sheet-to-Sheet Exchange plugin completes these two levels of backup and allows you to backup the Exchange server in detailed mode.
Each item created from the user’s email client can be saved individually, whether it is an email, a contact, a note, a calendar meeting or a task. It is no longer necessary to save the entire mailbox that contains it.

As with full or mailbox backup, detailed backup is administered from a backup set from which the user defines the backup rules that apply to each mail item.

2/ The advantages of the Exchange Sheet-to-Sheet plugin

The advantages of detailed mode backup make it the preferred backup mode. The strong point of this backup mode is the time saving it represents for Beemo users, both in terms of backup and restoration :

  • Backup is faster because the Exchange plugin allows you to perform a differential backup, which means that Exchange items are only backed up when they are added or modified. The daily backup volume is therefore smaller than for a full database backup.
    The user can also precisely define the Exchange items to be backed up. This will allow you to keep only emails that are important and reduce the volume of backups.
    Finally, if the user is considering outsourcing the data to increase the level of protection, the process will be shorter the lower the volume of data to be backed up.
  • It also reduces the time it takes to retrieve files. If an email or contact has been lost or one of the Exchange objects is damaged, the user can recover exactly that object without having to restore the entire database.

3/ Recommendations for backing up your Exchange

The new Exchange Sheet-to-Sheet plugin offers Beemo users another way to back up their Exchange server. It replaces the mailbox mode which has the disadvantage of using a lot of disk and memory resources on the server.
It is important to note that the Sheet-to-Sheet mode is complementary to the Database mode. We therefore recommend coupling these two backup modes by performing a local database backup at least once a week and a daily detailed external backup. This double backup ensures that the user can easily recover all of his Exchange items in the event of a more or less significant data loss.
In the event that the entire Exchange server is lost, it is possible to restore the entire database from the local backup and then the most recent Exchange objects backed up externally. If the data loss is due to a disaster, the detailed backup performed externally will make it possible to recover each of the Exchange elements and thus to reconstitute the user’s entire Exchange.

Already available across the entire Beemo range, the Exchange Sheet Plugin is compatible with Exchange Server versions 2000, 2003, 2007, 2010 and 2013.
